About Us
We are an artist-owned and operated fine art logistics business. We understand the precision and care required to handle, transport, and store art because we are artists ourselves. We work with renowned UK galleries, museums, prospective collectors, and family offices, providing highly tailored domestic transport, bespoke crating, and specialised storage. We are currently growing our operations and are looking for a dedicated, tech-savvy Logistics Coordinator to become the operational backbone of our team.
The Role
Working closely with the director, you will be the friendly, first point of contact for our clients. This is a dynamic role for someone who loves the "backstage" of the art world—how art is produced, handled, transported, installed, and cared for. We are looking for a highly capable individual who can confidently manage our day-to-day operations, across a wide span of projects and clients.
Contract: 0.8 FTE (4 days per week) with the view of becoming full-time - 6 month probation / 2 year fixed-term contract with a possibility of renewal. Standard UK statutory holiday allowance and pension contribution.
Salary: £30,000 - £35,000 per annum (pro-rata) depending on experience
Location: London/Hybrid (Primarily desk-based, with warehouse and client visits)
Key Responsibilities
Inbox Management and Quotes: Manage the office inbox. You will act as the face of Art Cargo, providing accurate and consistent quotes. You will price jobs strategically using our AI agent and calculators —ensuring we meet our minimum pricing thresholds for different types of clients and projects.
Insurance Management: Understand our insurance policies inside and out to ensure all art we handle is properly protected. You will accurately calculate insurance premiums for every job and confidently explain the importance of this cover to our clients.
Logistics & Scheduling: Organise the daily puzzle of our transport routes, coordinating everything from quick local London hops to our fortnightly Scotland service, assigning jobs to our drivers and technicians.
System Building & Tech Integration: Bring your digital skills to help us develop a more agile operation, through our booking and despatch systems. You will utilise and help optimise our use of databases, Detrack distribution app, and Articheck platform.
Storage & Inventory Management: Actively pitch our specialised art storage services to clients, aiming to convert one-off jobs into long-term storage accounts. You will manage and update inventories internally and for clients.
Hands-On Condition Reporting: Occasionally head down to our storage facility to personally oversee the receiving or releasing of artworks. You will check the art, write digital condition reports (via Articheck), and proactively offer condition reporting as an add-on service during the quoting process.
About You
Essential:
Exceptional Organiser: You have a keen eye for detail and can manage the "daily puzzle" of quotes, schedules, routing, and numerical data (like quoting and calculating insurance premiums).
Highly Digital: You have excellent digital literacy and the ability to learn new software and database systems quickly.
Autonomous & Reliable: You have a strong work commitment and a proactive attitude. You are someone a Director can confidently delegate the daily running of operations to.
Client-Facing Confidence: You are a friendly, clear communicator (both written and verbal) who can represent the business professionally.
Adaptable: You are happy in a predominantly desk-based role, but genuinely enjoy putting your boots on for hands-on learning at the warehouse and visiting clients.
Art World Interest: You hold a deep, genuine interest in the "backstage" of the art world—how art is handled, installed, and cared for.
Desired:
Sector Experience: Previous experience working in fine art logistics, or working directly within a gallery, museum, or artist studio.
Platform Knowledge: Familiarity with (or experience using) Detrack, or similar logistics platforms. Articheck for condition reports. Google Workspace / spreadsheets for inventory management.
Commercial Acumen: Experience with pricing, quoting, or upselling services in a business environment.
Technical Art Knowledge: An understanding of fine art insurance policies, condition reporting, or the physical requirements for moving and storing different artistic mediums.
