Job Title: Front of House Assistant
Department: Artwork Presentation

Main purpose of Job:
The Front of House (FOH) Assistant role will be required to act as an administrative assistant to our Front of House department, working part time, 24-32 hours per week.
You will assist with FRAME London’s administration, organisation and other tasks relating to our FOH department. Where necessary, you will liaise with walk-in enquiries, telephone calls and mail-outs, as well as helping with receipt of deliveries and organising customer collections.

You will assist with the standardisation of project sheets, data inputting (in our framing software) and any general administration tasks. You will also be required to undertake weekly general tasks, such as packing artworks, making folders and corners for storage, and filing of jobsheets and invoices.
In addition, you will be supporting the FOH team to organise all framing samples, which will include labelling physical samples, inputting related information into our framing software and ensuring all samples are stored correctly and neatly organised.
While we require experience in administration and customer-facing work; in the role you will be introduced and trained in elements such as industry standards, art handling, conservation framing techniques and framing concepts and design.

Key Responsibilities [in order of priority]:

To liaise with Lead Design Consultant and other Management where required, to ensure FOH tasks are met, including an awareness of additional tasks required to support the workflow of technicians during the working week
Assisting Lead Design Consultant with all administrative tasks in order to improve processes and efficiency
Client consultations and communication via email and phone
Registraral duties, as specified by the FOH/Management team, but including the following:
Answering the phone and taking messages
Assisting with packaging and storage of artworks and frames for storage and transportation
Booking courier services
Booking in customer appointments, and managing the shared calendar
Filing of invoices and administrative paperwork
Updating framing software, adding location codes, stock levels and collections
Data inputting into project spreadsheets, adding photos, measurements, locations etc
Contacting suppliers for pricing information, ordering and liaising with couriers and art movers to arrange the safe travel of artwork
Fabrication of artwork folders, corners and boxes where required
Organisation, labelling and cleaning of physical frame samples
Checking sizing of frames, measuring artwork
Bi-annual stocktake of art
Ordering of materials as required
