Freelance Technical & Facilities Coordinator
Contract: Freelance, approx. 2 days per week (14 hours), with increased hours during busy
exhibition periods
Period: December 2025 – May 2026
Additional Days: Required during exhibition installs and events
Potential to Extend: May develop into a permanent or part-time role after reopening
Fee: £19 per hour (dependent on experience)

Reports to: CEO/Artistic Director
Works closely with: Finance & Facilities Manager
Role Summary:
NN Contemporary Art (NNCA) is seeking a Freelance Technical & Facilities Coordinator to
support exhibition delivery, technical operations, and facilities coordination as we prepare for our
reopening in March 2026 and the initial post-opening period through May 2026.
Working within a professionally serviced building, the Coordinator will liaise with contractors,
suppliers, artists, and the West Northamptonshire Council (WNC) facilities team to ensure NNCA’s
spaces, systems, and exhibitions are safe, functional, and ready for public use. The role combines
hands-on technical support with facilities coordination, studio setup, and operational logistics
across our pre-opening and early opening phase.
This role is two days per week initially, with additional days required during exhibition installation
periods. There is potential for the role to develop following NNCA’s reopening.
Key Deliverables: Technical (Programme)
● Provide technical assistance to artists and support production needs when appropriate
● Produce fabrication plans (Sketch up) where needed and prepare costings for approval.
● Produce installation guides and ensure all technical documentation is saved and updated.
● Maintain inventory of packing materials and essential technical supplies.
● Obtain and approve invoices promptly and update project budgets.
● Ensure sustainable, efficient, cost-effective delivery of all technical duties.
● Stay informed of industry standards and propose improvements to technical processes.
● Manage technical requests and delegate tasks to gallery and freelance technicians as
required.
● Work with the CEO/Director on scheduling and technical planning.

● Lead the installation and deinstallation of exhibitions, coordinating closely with artists and
staff.
● Manage bookings of freelance technicians.
● Support practical art handling tasks including receiving, storing, preparing, and dispatching
artworks.
● Assist with condition checks when required.
● Maintain high standards of safe handling and packing, working with the registrar to ensure
artwork safety

Buildings & Maintenance
● Coordinate with contractors and internal teams for maintenance and repairs.
● Plan, schedule, and oversee reactive maintenance requests from staff.
● Ensure cleaning, presentation, and upkeep of all gallery and office areas meet a high
standard.
● Coordinate quotes, approvals, and invoices for maintenance works.
● Coordinate access requirements (passes, fobs, codes) with WNC, who manage and maintain
all CCTV and alarm systems for the building.
● Maintain tidy, safe packing and storage spaces.
● Support insurance compliance across all buildings and storage areas with the Associate
Director: Operations.
● Oversee waste management across NNCA sites.
● Sense-check WNC’s service charge calculations, logging discrepancies or missing items, and
escalating issues to the CEO and Finance & Facilities Manager.

Health & Safety
● Coordinate with WNC regarding building-wide Health & Safety obligations, including statutory
testing, fire systems, and compliance covered under the service charge.
● Manage NNCA’s internal Health & Safety procedures alongside the Gallery Director and
Associate Director: Operations, ensuring they integrate with WNC’s building-wide systems.
● Support and implement H&S tasks, including gallery-level fire checks, first aid kit checks, and
COSHH documentation, ensuring these are aligned with WNC’s building protocols.
● Assist with risk assessments for exhibitions, events, and installations, supporting the Gallery
Director in ensuring all activity complies with NNCA safety standards.

● Review and sign off installation build plans (where applicable) to ensure compliance with H&S
procedures and safe working practices.
● Ensure all tools, equipment, and materials are in safe working order, in date, and used with
appropriate PPE; oversee annual PAT testing for NNCA-owned equipment.
● Maintain and annually review NNCA’s H&S and building-related policies, ensuring alignment
with WNC’s overarching building policies.
● Ensure all staff, freelancers, and Duty Managers receive appropriate H&S training and stay up
to date with required certifications and awareness.

Studios & Tenants
● Prepare and manage studio licence agreements alongside the Finance & Facilities Manager.
● Serve as the first point of contact for studio holders, managing onboarding, communications,
and keyholder records.
● Oversee studio occupancy and ensure compliance with licences and building protocols.
● Maintain an up-to-date register of tenants, contracts, and space usage.
● Support studio artist inductions and ensure smooth communication and day-to-day
coordination.

Person Specification
We welcome applications from contractors who can demonstrate:
● Experience in technical coordination and/or facilities coordination within an arts, cultural, or
building environment.
● Strong organisational, planning, and problem-solving skills.
● Ability to manage multiple contractors, timelines, and compliance requirements.
● Confidence with hands-on technical tasks (e.g. installation, AV setup, basic maintenance).
● Excellent communication and record-keeping skills.
● Knowledge of health & safety, access systems, and/or building procedures.
